We are seeking a proactive and detail-oriented Project Coordinator to support our Australian Construction Manager with various administrative and operational tasks. This role is to ensure smooth execution of projects by managing logistics, coordinating with suppliers and project sites, and handling financial documentation. As the role is remote, excellent communication skills and fluency in English are essential.
Qualifications and Skills:
- Proven experience in a similar administrative or coordination role in the construction industry.
- Strong organizational skills and ability to manage multiple tasks simultaneously.
- Excellent communication and interpersonal skills with fluency in English.
- Proficiency in using office software (e.g., Microsoft Office, email management).
- Familiarity with procurement processes and project coordination.
- Ability to work independently in a remote environment.
- Previous experience in the telecommunications (telco) industry is highly regarded but not essential.
Key Responsibilities:
Project Site Support:
- Assists in coordination with project sites to arrange necessary access permissions, ensuring compliance with site-specific entry protocols.
- Facilitate inductions and other administrative requirements for personnel or contractors needing access to project sites.
- Assists with site teams to understand specific logistical needs and provide timely support to address any operational bottlenecks.
Procurement and Supplier Coordination:
- Assist in sourcing and requesting competitive quotes for materials and consumables required for ongoing and upcoming construction projects, ensuring alignment with project specifications and budgets.
- Submit detailed purchase order (PO) requests to the internal finance department, tracking the approval process to ensure POs are raised promptly.
- Assist in liaising with suppliers to confirm the availability of materials, negotiate delivery schedules, and monitor supplier adherence to agreed timelines to prevent project delays.
- Maintain a record of all procurement transactions, ensuring accurate documentation for audit and reference purposes.
Bill of Quantities and Cost Management:
- Collaborate closely with the Construction Manager to gather detailed information on additional materials, labor, and other resources required for project variations.
- Prepare and generate Bill of Quantities (BOQ), including cost estimates, to support client discussions and approvals for additional works.
- Monitor the approval of the said BOQ to reduce the risk of PO shortfalls.
Ad-Hoc Operational Support:
- Provide general administrative support to the Construction Manager to streamline daily operations and reduce workload.
- Assist in preparing reports and project documentation as needed.
- Proactively identify areas where operational efficiencies can be improved and recommend process enhancements.
Job Type: Full-time
Pay: Php25,000.00 - Php35,000.00 per month
