This role leads cross-functional business planning, change management, system migration and decommission coordination, and operational readiness for initiatives that span multiple departments—including Operations, Research, Technology and Facilities.
You will manage projects that are technology-enabled but business-owned, ensuring successful delivery through structured PMO governance, stakeholder alignment, and disciplined execution.
This is a hands-on project management role suited for someone who thrives in complex, global environments and can translate business needs into actionable plans that drive change, adoption, and operational outcomes.
Key Skills Required
- Strong project management capability, with experience applying enterprise frameworks (Stage-Gate, hybrid Agile, PMBOK, PRINCE2) to deliver complex cross-functional initiatives.
- Proven ability to coordinate multi-team, multi-region business projects, particularly those involving Operations, Research, Product Operations, Client Services, and Compliance teams.
- Strong business analysis and process design skills, including requirements gathering, process mapping, workflow definition, and translating operational needs into structured deliverables.
- High-level technical fluency, ability to understand system architecture concepts, data flows, integration, and environment dependencies to coordinate effectively with the Tech PMO.
- Proficiency with Asana (or similar tools) for project planning, dependency tracking, RAID management, and cross-team coordination.
- Advanced Microsoft Excel and PowerPoint skills, with the ability to prepare executive-ready reporting, analysis, dashboards, and structured project documentation.
- Strong analytical and problem-solving abilities, with a proactive approach to identifying risks, constraints, and operational impacts.
- Exceptional organizational and prioritization skills, enabling structured management of multiple concurrent initiatives in fast-paced environments.
- Outstanding communication skills (written and verbal), capable of preparing clear updates, facilitating workshops, and aligning diverse global stakeholders.
- Strong interpersonal and collaboration skills, with the ability to build trust, navigate competing priorities, and work effectively across geographies and time zones.
- Comfort with ambiguity and change, with the ability to bring structure, clarity, and alignment to evolving or unscoped operational initiatives.
Education and Experience
- Undergraduate degree in Business, Project Management, Computer Science, Facilities Management, or related discipline.
- Project Management certification (PMP, PRINCE2, CAPM, or equivalent) preferred.
- Experience with change management, training coordination, or organizational readiness activities is an asset.
- 5+ years of experience managing business transformation, operational change, or internal systems implementation projects in a cross-functional or global environment.
- Demonstrated experience supporting or coordinating business system migration
- Demonstrated experience supporting or coordinating system migrations, workflow redesign, or operational technology implementations in partnership with technical teams.
- Familiarity with data governance, data quality, privacy, or compliance considerations related to internal system deployments.
- Background in interpreting high-level architecture, data flows, and integration considerations is an advantage (no hands-on development required).
- Work with business owners, Operations, Research, and cross-functional global teams to define project scope, outcomes, KPIs, and success criteria.
- Develop robust project plans aligned with the Enterprise PMO framework (Stage-Gate + hybrid Agile), including milestones, dependencies, critical path, and resource needs.
- Coordinate business-side resources across Operations, Research, Product, Client Services, and Compliance teams.
- Drive project execution end-to-end on behalf of the business, escalating risks or capacity constraints to the PMO Director.
- Facilitate current-state and future-state workflow mapping to ensure operational alignment and process standardization across regions. ( integrated missing item)
- Maintain structured project documentation: charters, RAID logs, RACI definitions, dependency maps, and leadership reporting.
- Ensure alignment with Tech PMO timelines for engineering work, environments, integrations, data readiness, and testing cycles.
- Lead formal project closure, including benefits tracking, lessons learned, transition-to-BAU documentation, and archiving of project materials
- Proactively identify business-side risks, capacity constraints, operational impacts, and cross-team dependencies; maintain a clear RAID log consistent with Enterprise PMO standards.
- Collaborate with the Tech PMO to ensure technology risks, environment readiness, data dependencies, and integration timelines are incorporated into overall plans.
- Support budget visibility by tracking business-side resource needs, forecasting operational effort, and highlighting variances to Finance and project sponsors.
- Escalate high-impact risks, timeline deviations, or decision requirements to the PMO Director and project leadership.
- Ensure business-side mitigation plans are aligned with global stakeholders across Operations, Research, Product Operations, Client Services, and Compliance teams.
- Conduct business readiness assessments to ensure global teams, processes, and regions can absorb upcoming changes.
- Define and coordinate operational transition plans, training requirements, SOP updates, and support models.
- Validate that regional teams—especially during peak periods (e.g., proxy season)—have the capacity to participate in requirements, testing, and deployment.
- Ensure operational KPIs, workflow impacts, and downstream dependencies are understood, documented, and managed.
- Support rollout sequencing across global regions based on operational and seasonal capacity constraints.
- Lead business-side planning and readiness for internal system implementations, migrations, decommissioning efforts, and operational technology changes.
- Translate business needs into structured requirements, user journeys, acceptance criteria, and process adjustments.
- Coordinate closely with the Tech PMO and engineering teams to align business workflows with technical sequencing, environment setup, QA cycles, and deployment timelines.
- Drive business-side UAT planning, tester coordination, scenario development, issue triage, and sign-off for go-live.
- Support change management efforts including: communications, training coordination, readiness assessments, and post-release stabilization.
- Ensure deployments comply with data governance, security, privacy, compliance, and operational standards by collaborating with Compliance, Security, IT, and business SMEs.
- Lead business-side transition-to-BAU, including operational handoffs, SOP completion, readiness sign-off, and benefits realization tracking.
- Coordinate business-side data preparation activities: data mapping, cleanup, validation, and migration readiness.
- Identify and escalate upstream/downstream data dependencies affecting research workflows, automation, reporting, or publication cycles.
- Ensure data quality requirements, validation steps, and sign-offs are reflected in UAT, cutover planning, and operational acceptance.
Track data-related risks (translation, localization, volume constraints, late-arriving data, API variability) and integrate them into business planning and deployment readiness.
- Act as a central coordinating point between business owners, Operations, Research, Product Operations, Client Services, Compliance, and the Enterprise PMO.
- Partner with the Tech PMO to ensure visibility into system readiness, engineering timelines, environment constraints, and data dependencies.
- Provide structured, executive-ready updates to the PMO Director and leadership, highlighting risks, decisions required, and cross-functional impacts.
- Develop clear communication materials for global teams outlining process changes, readiness expectations, and timeline updates.
- Facilitate requirements workshops, planning sessions, cross-team alignment meetings, and retrospectives with global business stakeholders.
- Maintain consistent, transparent communication channels across geographies to ensure alignment and reduce operational and regional risk.
- Lead enterprise-wide transformation programs that advance Glass Lewis’ growth, innovation, and competitive positioning.
- Collaborate with senior executives across Technology, Product, Operations, Research, Finance, Compliance, and Legal.
- Operate at the intersection of commercial and operational strategy, connecting business outcomes with technology and product delivery.
- Work across EMEA, North America, and APAC in a truly global delivery environment.
