Job Description:
Essential Duties and Responsibilities
1. Property Operations & Maintenance
- Oversee all daily operations of the Condominium.
- Conduct regular inspections of common areas.
- Manage capital improvement projects, RFPs, contractor performance, and vendor relationships.
- Ensure preventative maintenance schedules are developed and executed.
- Coordinate emergency response procedures and hurricane preparedness in compliance with Florida law.
2. Financial Management
- Prepare and manage the annual operating and reserve budgets in coordination with the Board, Bookkeeper, and CPA.
- Review and approve invoices, ensuring alignment with budget allocations.
- Monitor delinquencies and coordinate with legal counsel on collections.
- Oversee financial reporting, reserve studies, and compliance with statutory reserve funding requirements.
3. Governance & Legal Compliance
- Ensure compliance with Chapter 718, Florida Statutes, DBPR rules, Fair Housing laws, OSHA, ADA, and local ordinances.
- Coordinate all elections, annual meetings, and board meetings; prepare required notices, agendas, presentations and minutes.
- Maintain all corporate records, official minutes, and association documents.
- Act as liaison between legal counsel and Board for disputes and enforcement actions.
4. Resident and Board Relations
- Provide excellent customer service to unit owners and residents, resolving complaints promptly and diplomatically.
- Communicate regularly with the Board of Directors and provide detailed weekly and monthly management reports.
- Recommend strategies for operational efficiency, cost savings, and long-term financial planning.
- Ensure clear communication to residents through multiple channels.
5. Staff & Vendor Management
- Directly supervise Department Managers as well as Team Members.
- Hire, train, and evaluate staff while maintaining professional performance standards.
- Ensure vendors are licensed, insured, and compliant with contracts.
- Manage payroll through ADP and enforce personnel policies.
6. Technology & Records
- Proficient in property management software.
- Maintain accurate owner/resident databases, violation logs, work orders, and communications.
- Ensure proper document retention per Florida state requirements.
Qualifications
- Active Florida LCAM License (Required).
- 5–7 years of experience managing large condominium associations or hospitality properties in Florida.
- Demonstrated success in stabilizing and improving operations at underperforming properties.
- Strong financial acumen with budgeting, reporting, and reserves.
- Excellent written and verbal communication skills; bilingual English/Spanish preferred.
- Advanced proficiency in Microsoft Office Suite and property management software.
- Bachelor’s degree in Business Administration, Property Management, or related field preferred.
