Proposal Coordinator- Healthcare

We are hiring a Proposal coordinator to support pharmaceutical clients and laboratory operations through accurate and timely communication, proposal preparation, and service coordination. This role combines technical knowledge in chemistry or microbiology with excellent client management and organizational skills. You'll work closely with both clients and scientific teams to ensure top-quality service delivery.

Key Responsibilities:

• Prepare and submit accurate service quotes for lab testing based on client requests (USP, EP, JP).
• Coordinate with Chemistry and Microbiology departments to ensure service is delivered on-time and as promised.
• Maintain up-to-date client and quote information in systems like Salesforce and PandaDoc.
• Follow up on quotes, clarify client inquiries, and update stakeholders on turnaround times or delays.
• Manage incoming sample coordination upon contract signing.
• Ensure compliance with GMP, GLP, and ISO standards in all communication and documentation.
• Provide technical support or escalate to lab experts when needed to maintain high customer satisfaction.
• Track and update revisions, pricing, and service details as needed.

Qualifications:

• Bachelor’s degree in Chemistry, Microbiology, Pharmacy, Biology, or any science-related field.
• Minimum of 1 year experience in a customer service, client-facing, or technical support role.
• Familiarity with laboratory testing, pharmaceutical services, or GMP/GLP environments is an advantage.
• Experience using Salesforce, PandaDoc, or similar CRM/quotation tools is preferred.
• Excellent verbal and written communication skills in English (C1 level).
• Proficient in Microsoft Office (Excel, Word, Outlook).
