As a Travel and Events Coordinator, you will be an addition to our Event and Travel team. On an operational level, you will be acting as a host for our events. You will support various departments in organizing (international) courses, company-wide events, customer visits to our campus, or team meetings. You will act as a liaison between the various event owners and the operational teams like Catering, IT, Facility, and Cleaning. The role combines an “on deck” approach during events (sometimes outside normal office hours) and administrative back-office tasks to ensure smooth sailing. Next to that you will support organizing the administrative and logistic aspects of internal team members as well as external guests from Europe and the US visiting our European headquarters located in Amersfoort. You will be supporting various departments dealing with visitors from abroad with travelling related topics like booking flights, local transportation, accommodation, and dinner/leisure arrangements. In this role, you will be dividing your time between events and travel coordinating responsibilities.

You will be part of our Hospitality team and will report to the Director Facilities.

Key Responsibilities

  • Align the travel and event organizers’ needs and translate this into a clear action plan for the support services
  • Plan and coordinate extra equipment or furniture, room setup, IT support, cleaning, food and beverage goods and external suppliers, abiding to timelines
  • Act as a “go to person” for any travel arranging requests
  • Report on the planned event calendar and related progress, budgets, issue management
  • Create policies and guidelines around events and travels

Requirements:
  • Bachelor’s degree level in Hotel Management, Event Management, Leisure Management, Facility Management or similar study
  • 2+ years of experience, preferably in an operational coordination role in an international work environment
  • Excellent oral and written communication skills in English and preferably in Dutch
  • Experience with travel related booking software and/or online portals, services desk software solutions and planning tools or relevant ticketing systems
  • Knowledge of other European languages is preferred
