Our Opportunity
The Administration Assistant role provides comprehensive administrative support to the Contracts Department, ensuring the efficient processing, and tracking of contract-related activities throughout the contract lifecycle.
Key responsibilities include coordinating contract review requests, monitoring and managing multiple shared inboxes, maintaining accurate contract records and documentation within internal and external systems, and ensuring all contractual information is recorded in a timely and compliant manner.
The role is responsible for tracking contract statuses and execution deadlines and proactively following up with internal stakeholders to obtain outstanding approvals, signatures, and confirmations. This role supports the preparation, distribution, filing, and archiving of contractual documents while ensuring adherence to company policies, procedures, and record-keeping requirements.
Strong attention to detail, organisational skills, and the ability to manage competing priorities are essential to ensure the smooth administration and execution of contracts across the business.
What will you do?
Provide day-to-day administrative support for the Contracts Department
Coordinate and track contract review requests and contract executions to ensure timely completion
Monitor multiple inboxes and manage incoming requests efficiently
Accurately upload and maintain documentation within Project and Legal portals
Track the status of contracts and proactively follow up on outstanding signatures
Liaise with internal stakeholders to ensure smooth processing of contract workflows
Maintain organised and up-to-date records in line with business requirements
- Assist with general administrative tasks as required.
- Demonstrated experience (minimum 4-5 years) in a busy administrative environment; familiarity with project contracts is desirable
- Ability to exercise absolute discretion and maintain confidentiality
- Ability to multitask with a proactive attitude
- Self motivated with the ability to work autonomously and engage positively in a team setting
- Excellent attention to detail and organisational skills
- Intermediate MS Office skills (Outlook, Word, PowerPoint, Excel)
- Excellent communication skills – written and verbal
