POSITION TITLE: Project Management Specialist
WORK SETUP: Hybrid

RESPONSIBILITIES:
  • Understand the business objectives of a virtual series and ad hoc seminars included in
  • areas of responsibility
  • Build a relationship with the sponsors and presenters of those series
  • Help establish a schedule for a given virtual series under the direction of the client
contact
  • “Own” all virtual sessions in assigned areas, unless directed otherwise by the client
contact (e.g. client contact may want to maintain control of, or be more involved in,
sessions with very top levels of leadership).
  • Create and maintain as necessary all related LMS course description entries for both
original and recorded conducts.
  • Manage scheduling of virtual events, including booking sessions, ensuring all necessary
  • Resources are confirmed, and preparing needed documentation (budgets, MSPs, service
metrics, etc).
  • Manage all session communications, whether using the standard templates or not. This
would include coordinating with Bangalore contacts, reviewing and signing off on all
templates and communication drafts, getting blurbs from speakers, etc.
  • Handle any troubleshooting that comes up, informing the client contact of exceptions and
risk situations promptly, and let them know of plans to mitigate risks
  • Handle any ad hoc sessions that cannot be handled through the new self-service model.
  • Raise issues to the client contact if there are opportunities to reduce the number of adhoc sessions and more towards more structured programs.
  • Be able to assist the client contact in discussing the benefits of having a scheduled series
and other various benefits of the new VSS model.
  • Monitor VSS delivery model and work with client contact team to implement continuous
improvement opportunities
  • Documenting cross region scheduling processes
  • Ensure cross region scheduling processes are followed
  • Provide input for Continuous Improvement
  • Communicate LMS and other Scheduling tool issues or potential enhancements to
  • Scheduling Lead
  • Preparing & submitting tuition for every new course.
  • Creating sessions/meetings in the Adobe Servers.
  • Posting the SRF (Session Request Forms) in the SharePoint post session approval.
  • Responsible for every session edit from sponsors like time change
requests, etc.

Project Rest Day: Weekends

SKILLS AND QUALIFICATIONS:

  • Bachelor’s degree holder
  • Must have at least 5 years of Project Management experience
  • Must have 2 to 3 years supervisory experience
