- Manage complex and dynamic calendars, aligning meetings with business priorities
- Anticipate scheduling conflicts and proactively resolve them
- Prepare daily briefs, meeting agendas, and ensure executives are well-prepared
- Support execution of key initiatives by tracking deliverables, timelines, and outcomes
- Coordinate across teams to ensure alignment on priorities and follow-ups
- Act as an extension of the executive in driving actions and closures
- Manage executive communications including emails, calls, and correspondence
- Draft, review, and format high-quality presentations, reports, and documents
- Interface with internal and external stakeholders with professionalism
- Organize leadership meetings, governance forums, and business reviews
- Prepare materials, capture minutes, and track action items to closure
- Ensure consistency and follow-through across all meetings
- Build strong relationships across functions and levels
- Facilitate effective communication between leadership and teams
- Handle sensitive interactions with confidentiality and discretion
- Manage end-to-end travel arrangements including itineraries and expenses
- Coordinate logistics for meetings, offsites, and events
- Drive administrative efficiency through process improvements
- Maintain organized records, trackers, and documentation
- Support budget tracking, procurement coordination, and reporting if required
- Handle confidential information with high integrity
- Maintain professionalism in all interactions and communications
- Strong planning, organization, and prioritization skills
- Excellent verbal and written communication
- High level of discretion and stakeholder management capability
- Ability to work independently and manage multiple priorities
- Attention to detail with a proactive mindset
- Strong proficiency in Microsoft Office and collaboration tools
- Bachelor’s degree in Business Administration or related field
- 5–10 years of experience supporting senior leadership or C-level executives
- Experience in fast-paced, matrixed organizations
- Strong business acumen and ability to understand executive priorities
- Proven ability to manage complex schedules and stakeholder expectations
