Job Title: Medical Office Assistant (MOA) – Plastic Surgery Office
M*etrotown Surgical Centre is seeking a professional, compassionate, and detail-oriented Medical Office Assistant (MOA)* to join our thriving plastic surgery practice. As the first point of contact for our patients, you will play a critical role in ensuring a high-end, supportive, and efficient experience from initial consultation through post-operative recovery. This role balances front-office administrative excellence with clinical support tasks including:
- Patient Coordination: Greet patients, manage the "check-in" and "check-out" process, and ensure a welcoming waiting room atmosphere.
- Scheduling: Manage complex provider calendars, including surgical bookings, private consultations, and follow-up appointments.
- Communication: Professionally handle high-volume phone calls and emails, providing information on cosmetic and reconstructive procedures.
- EMR Management: Maintain accurate electronic medical records (e.g., Plexia), including scanning and indexing referrals and lab work.
- Financials: Process private payments for cosmetic procedures, manage MSP/ICBC/WCB billing where applicable, and reconcile daily batches.
Clinical Support
- Patient Prep: Escort patients to exam rooms.
- Patient Education: Provide clear pre- and post-operative instructions to patients, helping them understand their recovery journey.
- Inventory: Order medical and office supplies to ensure no stockouts.
Qualifications & Skills
- Education: Completion of a recognized Medical Office Assistant diploma or certificate is an asset but not required.
- Experience: experience in a medical office or specialty surgical setting preferred. However, previous experience in other customer service industries will be seriously considered.
- Technical Proficiency: Strong computer skills and experience or ability to learn our Electronic Medical Record (EMR) is a requirement.
- Soft Skills: Exceptional interpersonal skills with a "customer-service" mindset, especially when dealing with cosmetic surgery clients.
- Professionalism: Ability to maintain strict patient confidentiality (HIPAA/PIPA) and remain calm in a fast-paced environment.
