Summary

Updates and maintains various electronic records and databases; researches and prepares statistical reports; maintains inventory of office supplies; serves as a primary communications contact for assigned unit or division; responds to questions and complaints; greets people in person and on the telephone and directs them appropriately; processes incoming mail; copies and delivers files, documents, and information; types letters and memos; and may act as notary public.

Duties and Responsibilities

  • Updates and maintains various electronic records and databases and prepares statistical reports regularly

  • Researches records for information needed for reports and makes copies of documents or information and distributes or delivers it to the appropriate location

  • Maintains adequate inventory of office supplies for assigned unit or division

  • Serves as primary communications contact for assigned division or unit with other departments or outside persons

  • Answers multi-line telephones, routes calls, and takes messages, including responding to moderately complex questions and complaints

  • Greets visitors and directs them appropriately

  • Opens, sorts, and distributes mail and types correspondence

  • May serve as a notary public for the unit or division

  • Assists unit staff as needed

Minimum Qualifications

  • High School Diploma or GED equivalent, plus at least two (2) years of general office experience, including at least one (1) year secretarial experience; or any equivalent combination of education and experience that provides the required knowledge, skills, and abilities

  • Must have a valid Texas driver's license or available alternate means of transportation

  • Must be able to type 55 wpm with no more than 7 errors. Requires recent typing test administered by hired date (Typing tests may be administered by Department, Human Resources or Workforce Solutions Alamo Career Centers)

  • Must secure and maintain a favorable background investigation

  • Must complete a pre-employment physical and a pre-employment drug screen test

  • Knowledge of basic office and secretarial practices and procedures; knowledge of English spelling, grammar and punctuation; knowledge of word processing, database or spreadsheet software packages; knowledge of juvenile law and case management practices; and knowledge of basic bookkeeping practices, word processing, spreadsheet software, and other computer applications utilized by the department

  • Skills in operating a computer, typewriter and basic office equipment; and skill in reading and interpreting legal documents

  • Ability to accurately enter data and file information; ability to understand and follow verbal and written instructions; ability to establish and maintain effective working relationships with co-workers, other County employees, and the general public; ability to type quickly and accurately; ability to manage time effectively; ability to handle difficult clients; ability to compile, read, and analyze statistical data; ability to perform basic mathematical calculations; and ability to communicate effectively, both orally and in writing

  • This is a non-supervisory position. Employee receives direct supervision when performing the essential functions. Well-defined procedures are used when completing work assignments. Job has limited impact on work unit operations

  • Judgment is required in selecting appropriate established guidelines to follow and employee uses limited discretion to complete work assignments. Initiative is required to complete work assignments. Decisions are made regarding individual work priorities

  • Frequent contact with co-workers and the general public and occasional contact with other County employees. Communication is primarily in person and via telephone

  • May be required to work more than 40 hours during the workweek
