We are seeking a highly organized, proactive, and service-oriented Client Care & Operations Coordinator to support client experience, clinic operations, social media initiatives, and day-to-day business activities.

Position Overview

The Client Care & Operations Coordinator serves as a key member of the clinic team and supports the patient journey from initial inquiry through ongoing care. This role also assists daily operations, administrative coordination, community engagement, and social media activities.

The ideal candidate is personable, detail-oriented, adaptable, and excited to contribute across multiple areas of a growing healthcare business.

Key Responsibilities Client Experience & Care Coordination

  • Welcome and assist patients throughout their clinic experience
  • Coordinate consultations, treatments, and follow-up appointments
  • Manage patient communications via phone, text, email, and social media
  • Support patient education using provider-approved materials
  • Conduct post-treatment follow-up and patient satisfaction outreach
  • Support membership programs, referral programs, and patient retention initiatives

Clinic Operations Support

  • Support day-to-day operations
  • Assist with opening and closing procedures
  • Maintain treatment room readiness and clinic presentation standards
  • Coordinate inventory tracking and supply requests
  • Assist with vendor coordination and operational projects
  • Maintain accurate records, reports, and administrative documentation
  • Support implementation of clinic SOPs and operational processes

Social Media & Marketing Support

  • Coordinate social media content creation and posting schedules
  • Assist with patient photo and video collection, consent management, and content organization
  • Support Instagram, Xiaohongshu, TikTok, Google Business Profile, and other marketing channels
  • Monitor social media inquiries and route leads appropriately
  • Assist with community outreach, partnerships, events, and promotional campaigns
  • Track social media and marketing performance metrics

Qualifications

  • Ability to work independently and proactively solve problems
  • Ability to be flexible and able to adapt to dynamic working environment.
  • Medical aesthetics, dermatology, plastic surgery, wellness, or healthcare experience
  • Strong communication and relationship-building skills
  • Excellent organizational and multitasking abilities
  • Social media content creation experience
  • Experience supporting operations in a small business or startup environment
  • Speak Mandarin Chinese or Korean
