About Us

Oklahoma Discount Flooring is a fast-growing home improvement retailer specializing in flooring, countertops, cabinetry, showers, and full remodels. We are aggressively expanding across the Oklahoma City metro. We're looking for a detail-oriented, tech-savvy team member to own and operate our RFMS business management platform as we scale.

Position Summary

The RFMS Administrator is the backbone of our day-to-day business operations. You will be the primary owner of our RFMS ERP system, ensuring that sales, inventory, purchasing, accounting, and reporting functions run smoothly and accurately across all locations. This role is critical to our ability to scale from 2 stores to 6+ locations.

Key Responsibilities

Order Entry & Sales Processing

  • Manage customer orders, quotes, and estimates accurately in RFMS
  • Process special orders and stock orders, tracking from purchase order through installation
  • Coordinate job files between sales staff, warehouse, and installation crews

Inventory Management

  • Maintain accurate inventory levels using RFMS barcoding and tracking tools across all warehouse locations Cyncly
  • Receive incoming materials, process purchase orders, and reconcile shipments
  • Use data-driven insights within RFMS to forecast demand and avoid overstocking or stockouts Cyncly
  • Conduct and coordinate regular physical inventory counts

Accounting Support

  • Support financial reporting processes within RFMS, including sales, cash flow, and invoice reconciliation Cyncly
  • Process vendor invoices and match against purchase orders
  • Utilize RFMS B2B E-Commerce tools to receive supplier invoices, price catalogs, and shipping notices electronically, keeping product pricing current Floor Daily

Product File Management

  • Maintain the RFMS product database including pricing, vendor info, and product details for flooring, countertops, cabinets, and shower materials
  • Manage complex product offerings including private-label products and ensure inventory assignment and invoice clarity Cyncly

Reporting & Analytics

  • Generate and distribute real-time sales performance reports to management for timely decision-making Cyncly
  • Track sales rep performance, job profitability, and fulfillment metrics
  • Provide ownership with regular operational dashboards to support growth decisions

System Administration & Training

  • Serve as the in-house RFMS expert and primary point of contact with RFMS/Cyncly support
  • Train new employees on RFMS as the company grows and adds locations
  • Identify underutilized features and recommend process improvements

Qualifications

Required

  • 2+ years of experience with RFMS software strongly preferred (flooring industry experience a major plus)
  • Proficiency in order entry, inventory management, and basic accounting functions
  • High attention to detail and accuracy in data entry
  • Strong organizational skills with the ability to manage multiple priorities
  • Comfortable working in a fast-paced, growth-oriented environment

Preferred

  • Experience in flooring, construction, or home improvement industry
  • Familiarity with B2B e-commerce purchasing workflows
  • Basic understanding of accounting principles (AR/AP)
  • Experience supporting multi-location operations

Compensation

$21–$27/hour depending on experience

A couple of notes: if you can't find someone with direct RFMS experience, look for candidates from any flooring retailer — the workflows transfer quickly. Also, given your growth plans, this person will eventually need to onboard and train staff at each new location, so communication skills matter as much as the technical side.

Pay: $44,000.00 - $56,000.00 per year
