Accounts Payable Assistant / Processor

Invoice Validation
- Review and verify purchase orders, invoices, and statements for accuracy and completeness.
- Match invoices with purchase orders and receiving reports to ensure proper documentation.
- Investigate and resolve discrepancies between invoices, purchase orders, and receipts.
- Ensure all supporting documents and approvals are obtained prior to payment processing.
- Collaborate with procurement, receiving, and other departments to maintain smooth workflow.
- Enter invoices into the accounting system promptly and accurately.

Payment Processing
- Prepare and process vendor payments through checks.
- Ensure payments are made accurately and on schedule to avoid penalties or late fees.
- Handle employee expense reimbursements and petty cash/fund replenishments in compliance with company policies.
- Monitor payment schedules and due dates to enhance cash flow and maintain credit terms.

Vendor Relations
- Respond promptly and professionally to vendor inquiries regarding billing and payments.

Recordkeeping and Reporting
- Maintain and reconcile the accounts payable ledger to ensure accuracy of financial records.
- Monitor payments to suppliers to prevent duplicate or erroneous transactions.
- Assist in month-end and year-end closing of books.
- Prepare weekly reports on released and unreleased checks for manager’s review.

Compliance and Controls
- Adhere to company policies and procedures related to payment processing and financial controls.
- Ensure compliance with tax regulations, withholding requirements, and statutory reporting.
- Support external and internal audit requirements by providing documentation and explanations.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
  • At least 1–2 years of experience in Accounts Payable, Accounting, or a related role.
  • Fresh graduates with relevant internship or training experience are welcome to apply.
  • Basic knowledge of accounts payable processes and accounting principles.
  • Willingness to learn and able to work with minimal supervision.
  • Good attention to detail and accuracy in handling data.
  • Basic computer skills, including Microsoft Excel and MS Office applications.
  • Good communication and organizational skills.
  • Able to work independently and as part of a team.

Job Types: Full-time, Fresh graduate

Pay: Php20,000.00 - Php24,000.00 per month
