Scheduling Coordinator

The Scheduling Coordinator is responsible for managing daily staffing schedules by ensuring appropriate assignment of paraprofessionals to cases, coordinating replacements as needed, and maintaining effective communication with a large workforce pool. The role supports operational continuity by ensuring coverage, timely updates, and accurate tracking of paraprofessional availability across all statuses.

Responsibilities:
Case Assignment & Scheduling
•Pair paraprofessionals with appropriate client cases based on qualifications, availability, and service requirements.
•Maintain accurate and updated schedules for all active assignments.
•Ensure proper alignment between case needs and staff capacity.
Coverage & Replacement Management
•Identify scheduling gaps and coordinate immediate replacements when needed.
•Ensure timely deployment of backup paraprofessionals to avoid service disruption.
•Monitor attendance and proactively address potential coverage risks.
Staff Communication & Coordination
•Maintain constant communication with a large pool of paraprofessionals regarding schedules, updates, and changes.
•Provide timely notifications regarding schedule adjustments, cancellations, or urgent coverage needs.
•Serve as the primary point of contact for scheduling-related concerns.
Support for Supervisory Communication
•Assist coordinators and supervisory staff in relaying instructions to paraprofessionals.
•Ensure accurate transmission of updates, case instructions, and operational directives.
•Escalate concerns or issues to supervisors when necessary.
Database & Workforce Management
•Maintain an updated master list of paraprofessionals across
•Ensure data accuracy for scheduling, availability, and deployment readiness.
Additional Responsibilities
•Prepare daily and weekly staffing reports
•Support onboarding coordination for new paraprofessionals
•Assist in workforce planning and forecasting
•Help improve scheduling processes and system efficiency
•Participate in operational meetings for staffing alignment
•Ensure compliance with internal scheduling policies and client requirements

Qualifications
•Bachelor’s degree in Business Administration, Human Resources, or related field (preferred)
•At least 1–2 years of experience in scheduling, workforce coordination, HR operations, or administrative support•
Experience handling high-volume staffing or shift-based environments is an advantage
•Strong organizational and time management skills
•Excellent communication and coordination skills
•Ability to manage multiple requests under tight deadlines
•Attention to detail and accuracy in scheduling
•Problem-solving and decision-making ability
•Proficiency in MS Excel or scheduling tools/systems
•Ability to work in a fast-paced and dynamic environment
